Mortgage broker referral intake is the path a broker uses to send you work, plus the record of where that work came from. The broker is not always the client. On lender originated assignments the lender engages the appraiser and the broker is a referral source; on private assignments the broker or owner may be the client of record. The system captures those as separate facts and attributes the referral without deciding the relationship.
Friction that costs you broker work
The order arrives as a text message
An address, a first name, and the words need it by Thursday. Somebody turns that into an assignment by making three phone calls. The broker experienced this as easy, which is why they keep doing it.
Client, payer, and referral source share one field
The broker sent the work, the lender will engage the appraiser, and the borrower is paying by card. Recorded as one name in one field, the file cannot answer who the client is under USPAP, who the intended users are, or who the invoice belongs to.
Every repeat order starts from an empty form
The same broker has sent forty assignments. Their firm name, branch, billing contact, delivery preference, and contact method get typed again on order forty one, usually slightly differently.
Nobody knows which brokers actually send work
Someone has a sense of the top two or three. Beyond that the record is an accounting system organized by who paid, which for lender originated work is not the broker. The relationship that produced the order is invisible.
The same property arrives twice as new work
A deal falls through and comes back with a different lender. Nothing at intake connects it to the earlier assignment, so the prior services disclosure is handled from memory, if at all.

How the broker channel gets put together
One link per broker, one profile behind it
Each broker gets a durable link tied to their record. Opening it means firm, branch, billing contact, and delivery preference are known, so the form asks about the property and the transaction rather than the broker again.
Client and referral source stay separate fields
Who engages the appraiser, who the intended users are, who pays, and who referred the work are four questions with four answers. Which of them a broker occupies depends on the assignment type, and that is your firm’s determination, not a default the form applies.
Prefill is visible, never silent
Inherited values appear marked as carried over from a named prior order and can be changed in place. A broker who moved branches corrects it once, and the correction updates the profile rather than one order.
Duplicate detection surfaces the prior file
A matching parcel raises the earlier assignment with its date, client, and appraiser. What happens next is a judgment call, including the prior services disclosure the USPAP Ethics Rule requires before acceptance. The system supplies the fact, not the decision.
Attribution is captured at submission
Referral source and originator are written when the order is created, not inferred later from an invoice. Reporting runs by firm, by branch, by originator, and by assignment type, which tells you whether a relationship is one person or an office.

Can a mortgage broker order an appraisal for a loan file?
That depends on the transaction and on rules your firm is better placed to interpret than we are. Appraiser independence requirements govern who may select and engage an appraiser on consumer credit secured by a dwelling, and that obligation generally sits with the lender. The system records who engaged the appraiser, who the intended users are, and who referred the work, as separate facts. It never assumes the broker is the client.
What does the repeat order shortcut actually prefill?
Firm and branch details, billing contact, invoice preference, delivery method and recipients, and the broker’s usual instructions about contacting occupants. It does not prefill anything about the property, the parties, or the fee. Those change every time, and prefilling them introduces errors quietly.
How is a referral attributed when several people at one shop are involved?
Attribution records the originator, the branch, and the firm, so all three roll up. Where an order arrives through a colleague’s link on behalf of someone else, the form asks. It prevents one person appearing to be the whole relationship.
Does tracking attribution mean we are paying for referrals?
No. Attribution is a record of where work came from, which most firms want for reporting and for knowing which relationships to maintain. Whether anything of value should flow to a referral source is a legal question for your counsel. The system does not calculate or trigger any such payment.
