Inspection scheduling in appraisal is a three-party problem. The appraiser has a route and a due date, the listing agent or property manager controls access, and the occupant has to be present or has to agree to be out. A scheduling system holds the appointment as one record all three parties act against, sends each of them the message they need in the channel they answer, and carries a defined branch for the two things that always happen: a reschedule, and a trip where nobody could get in.
Where access coordination actually fails
The appointment lives in three calendars and one text thread
The appraiser has it on a route. The agent has it in a text message. The occupant has it in their head. When one of the three changes something, the other two find out at the door on the day.
Nobody confirmed who is actually opening the property
The order says lockbox. The lockbox turns out to be a Supra box the appraiser has no access to, or the code belongs to a listing that expired. That is discovered in the driveway, and the trip is spent.
Tenant-occupied properties get booked like vacant ones
A tenant with a notice requirement in their lease cannot be scheduled for tomorrow morning. Booking it anyway produces a refused entry, a second trip, and a due date that no longer holds for anyone.
No-access trips disappear from the record
The appraiser drives out, cannot get in, and drives home. Whether that trip gets billed, who gets told, and when the second attempt happens are all decided by whoever picks up the phone first.
The client asks for status and gets a guess
The coordinator does not know whether the inspection happened until the appraiser mentions it that evening. Every downstream date, including the report due date, is estimated across that gap.
Three-party confirmation sequence and its branches
One appointment, three parties, and two branches that have to be built rather than improvised. The sequence runs top to bottom, with the reschedule and no-access branches spelled out where they split off from it.

The pieces that make the sequence hold
Windows offered from real route capacity
Available windows come from the appraiser’s open route for that geography on that day, not from a generic calendar. A window that cannot be driven alongside the rest of the day is never offered in the first place.
Access questions asked before the slot is committed
Lockbox type, who holds the code, whether the occupant must be present, any tenant notice period, gate and pet notes. The window stays provisional until those answers land, which is what prevents the driveway discovery.
Each party receives their own message
The agent needs access detail and the appraiser’s credential. The occupant needs the window, the duration, and what the appraiser will be doing inside. These are not the same message and they do not travel in the same channel.
Branches configured rather than improvised
Reschedule and no-access each carry a defined notification set, a recorded reason, an attempt counter, and a rule about the trip fee for that client. The appraiser triggers either one from a phone without calling the office.
The inspection date lands in the file
When the appraiser marks the property inspected, the date and any note on inspection extent write to the order record. That is what the client status view reads, and it is what the workfile shows about when access occurred.

Questions we get asked
Can occupants pick their own window instead of us calling?
Yes, and it works well for owner-occupied refinance work. The occupant gets a link with two or three windows the appraiser can actually drive. For listed and tenant-occupied properties we usually route the choice through the agent or property manager instead, since they hold access and often the notice obligation.
How do you handle clients who forbid direct borrower contact?
That is a per-client rule, and it changes who receives the scheduling link. Where direct contact is not permitted, the sequence runs through the client or their designated contact and the occupant only receives what that party approves. Your client’s requirements govern; the system enforces whichever ones you configure.
What keeps the appraiser's calendar from being double-booked?
Committed windows block time on the route, and released windows return to the pool the moment a reschedule is recorded. The appraiser can also hold time for report writing, court testimony, or non-lender work, so scheduling never eats into it.
Does the system decide whether we charge a trip fee?
It records the attempt, the reason, and any photo, then applies whatever rule you have set for that client. Whether the fee actually gets billed is a call someone makes. The record simply puts the facts in front of them instead of a recollection of a Tuesday.
