Workflow Automation for Appraisal Firms, Adjusters and Inspectors

Appraisal, adjusting and inspection firms sell professional judgment, then spend most of the week on administration around it. Orders arrive in three formats, scheduling takes four calls, delivery is a manual upload, and invoicing happens whenever someone finds time. Everything we build here sits on the administrative side only. Nothing we build touches a value conclusion, a scope determination or a settlement decision.

Where the administrative day disappears

None of this is the professional work. All of it happens anyway, usually to whoever picks up the phone.

Orders arrive in incompatible shapes

One comes through a portal, one by email with a PDF attached, one as a phone call from a broker. Each carries different fields, fee expectations and delivery requirements, and someone normalizes all of it by hand.

Scheduling is a phone game

Reaching an owner, a tenant, an agent or a contact at a loss site takes several attempts across days. The appointment gets written somewhere, changed once, and the change does not reach everyone. The field professional finds out on arrival.

The clock is invisible until it is breached

Turn time commitments are contractual and clients ask about them constantly. Most firms can answer only by opening files one at a time, so escalation is the first sign of a problem.

Delivery and invoicing are two separate manual chores

A completed report gets uploaded to whichever system ordered it, and an invoice gets raised later, by a different person, from a different record. The two drift, and work gets delivered that never gets billed.

The compliance file is assembled retrospectively

Engagement letters, independence-sensitive communications, supervisory hours and revision histories must stay findable long after delivery. Collected only at review time, the gaps are already there.

Index of appraisal, adjusting and inspection workflows

Three groups, because the work is administratively different even where the field day looks similar. Appraisal is organized around an order and a report, adjusting around a claim and a scope, inspection around a route and a referral relationship. Find your row.

Read every row on this page as administration only. Where a workflow sits next to professional judgment, such as reconsideration handling or supplement requests, the system routes, records and time-stamps the request. The determination stays entirely with the licensed professional.

The mechanics underneath all three disciplines

One assignment record from order to payment

The order, the fee, the engagement letter, the appointment, the field documentation, the delivery and the invoice all hang off one record. Firms keeping scheduling and billing apart spend the month reconciling them.

Every commitment becomes a monitored state

Due dates, turn time commitments, revision deadlines and re-inspection windows are states the system watches, not dates in a field. Assignments at risk surface on their own, before a client asks.

Scheduling contact runs on its own track

Reaching a contact is a sequence with attempts, outcomes and escalation, not a single call. The system records each attempt, sends confirmations, and shows what was agreed before anyone leaves for the site.

Field capture is structured at the point of the visit

Photos, measurements, scope notes and observations attach to the assignment while the professional is on site, on a phone, already labeled. That removes the evening spent sorting images and guessing which property they belong to.

Delivery and billing are one event, not two

Completing delivery is what triggers the invoice, built from the fee agreed at intake. Billable work stops being something a person has to remember to bill for.

The compliance record is a by-product, not a project

Engagement letters, communication records, revision histories and supervisory hours accumulate as the work happens, because the workflow produces them. Nothing is assembled retrospectively.

The capabilities behind this work

Is this a fit for your business?

A good fit when

  • You take work from more than one source and each has its own rules
  • Scheduling and chasing contacts consumes a full person’s week
  • Clients ask about turn time and you cannot answer without opening files
  • Work gets delivered that turns out never to have been invoiced

Probably not a fit when

  • You are a sole practitioner taking a small number of orders a month
  • You want software that produces or influences the professional conclusion
  • You need a report writing package rather than an operating system for the firm
  • You need compliance advice about what your obligations are

What to have ready

  • Where your orders come from and roughly how many arrive from each
  • Your engagement letter, fee schedule and any client-specific requirements
  • How scheduling happens now, including who makes the calls
  • The point in the month where billing and delivery stop agreeing

Questions we get asked

Have you built a system for a firm like this?

Yes. There is a live automated quoting and invoicing system we built for a professional appraisal firm. It computes pricing from map data and several job factors, and issues the invoice to the requester without anyone on staff touching it. That is the administrative side, which is the only side we work on.

Does anything you build influence a value conclusion or a claim outcome?

No, and this is a hard line rather than a caveat. The systems handle intake, routing, scheduling, documentation, delivery and billing. They do not compute values, suggest values, determine scope or settle anything. Where a workflow sits close to professional judgment, the system logs and routes; the licensed professional decides.

We work through appraisal management companies. Does that change the build?

It changes the intake and the delivery, which is why it gets its own workflow. Portal-sourced work carries different fee structures, turn time commitments and delivery destinations from direct or broker work. The system holds those as separate rule sets on one pipeline.

Can this handle adjusting and inspection work alongside appraisal?

Yes, and firms doing more than one discipline are common. The underlying record is the same shape: an assignment with a contact, a location, a visit, documentation, a deliverable and a fee. What differs is the document set and the deadlines.
