Where the two platforms part ways
The suite boundary is a real design decision
In Formstack, document generation and electronic signature are separate products, Formstack Documents and Formstack Sign, which combine with Forms into the suite. In Cognito Forms, Document Generation and Electronic Signatures are features of the form. Formstack asks you to configure a hand-off between products, with a second set of limits and admin surface.
The pricing models diverge on different variables
Formstack meters builder seats, form count, and submissions. Cognito Forms meters submissions across the organization and includes a set number of users per tier, with extra users added on. Many forms and few builders makes one model dramatically cheaper. Many builders each running a handful of forms flips it.
Workflow sits at different altitudes
Formstack’s approvals and step logic live in Workflows, a construct above the form that moves a submission between steps and named people. Cognito Forms models process as statuses and assignments on the entry itself, with workflow links letting an outsider act on one entry. One reads like a process diagram, the other like a record.
Salesforce is not close to a tie
Formstack has a native Salesforce application: forms built inside Salesforce, writing directly to Salesforce objects, documents generated from Salesforce data, and compatibility with the platform’s own security model. Cognito Forms reaches Salesforce the way it reaches anything else, through API, webhooks, or middleware. If Salesforce is your system of record, this decides the comparison.
One of them has a nested data model
Cognito Forms’ Repeating Sections and Tables give a form genuine nesting, and its Lookup Field references entries on another form, which makes line-item quoting natural. Formstack handles long and complex forms well, but its data model is flatter, so multi-row data more often becomes a workflow step or an integration.

Most rows here are close, which is the point. The comparison turns on four where the answer is structural rather than incremental: pricing model, Salesforce, document generation, and data structure.

How to make the call
If Salesforce is your system of record, choose Formstack
This is the clearest single recommendation across any comparison we write, and it goes against our own interest. Formstack’s Salesforce-native application builds the form inside Salesforce, writes directly to objects with no sync layer, and generates documents from Salesforce data. Choosing Cognito Forms instead means running an integration and owning its failure modes: duplicate records, mapping drift, a middleware subscription, and somebody on call when a webhook stops firing. Cognito Forms will not beat a native application on its own platform, and we say so even though it costs us work.
Count your forms and your builders before either demo
Formstack meters seats and forms. Cognito Forms meters submissions and gives you unlimited forms. An operations group wanting forty small forms maintained by two people, and a company where fifteen department admins each own two forms, get very different answers, and the gap is large. Write down live forms, monthly volume, and how many people build rather than receive.
If the document is the deliverable, Cognito Forms is shorter
Quotes with line items, agreements that price off what was selected, applications that must come out in a fixed layout. Keeping the merge inside the form means one product to administer, one set of limits, and a guarantee that the PDF total and the total the customer saw came from the same expression.
If you need the whole suite anyway, buy the whole suite
If your process genuinely needs document generation, signature routing, and multi-step approvals, and you are already a Formstack customer for one of those, splitting the stack across two vendors to save on the form layer is a false economy. You would trade one support relationship and one security review for a marginally better form builder.

How hard is it to migrate between Cognito Forms and Formstack?
In either direction it is a rebuild, because there is no form import path between them. Field structure moves quickly and is rarely the constraint. What takes time is logic, calculations, and workflow, none of which translate one to one. Budget against the complexity of the logic, not the number of fields.
What about QuickBooks, HubSpot, and DocuSign?
All three are reachable from either platform. Both expose an API and webhooks and both work through Zapier and Make, which is how most QuickBooks and HubSpot connections get built. DocuSign is different: Formstack sells its own signature product, so a suite customer rarely needs it, while Cognito Forms customers use the native signature field or hand off where a countersigned envelope is required. Salesforce is the exception: a native application is not something an integration reproduces.
Which is easier for a non-developer to maintain?
Formstack’s builder and workflow steps are more visual and read more easily to someone who has not built forms before, which matters if the form goes to a department administrator. Cognito Forms asks you to learn an expression syntax, which is where new builders stall, but it also means a complicated pricing rule is one formula instead of a stack of interacting rules.
Which one costs less?
It depends on your shape, which is why a number would mislead you. Formstack’s per-seat model with form and submission limits suits a few builders running a few high-value forms, and gets expensive when every department wants its own builder. Cognito Forms’ organization-tier model with unlimited forms suits breadth, and gets expensive as users grow past the included seats.
